Please use the drawing that follows these guidelines for reference.
Always be as descriptive as possible in giving the location of the registration area.
At a minimum please provide the Hall name, this will make it easier for the onsite techs to find the appropriate areas Onsite.
Label every set of counters. Make sure Exhibitor, Attendee, Onsite, Express, and any other distinct areas are labeled correctly.
This helps this helps the onsite techs identify what goes where when they arrive onsite.
Always include the CSI Registration office. This area should always have :
A laser jet printer, 2 power drops, an internet drop (unless otherwise specified), 3 tables with chairs, and a v-lan drop.
There should only be 1 v-lan drop in the office, regardless of how many other v-lan drops there are for other areas.
If there are no registration areas that require a v-lan and esg is co-located (physically connect to registration) then a v-lan is not necessary.
To save space you can include registration areas in different rooms as long as you clearly mark them and put them inside a box.
If there is no space on the page another one can be added for additional areas.
If an area is located over 300 ft. from the registration office, in a separate room or across a high foot-traffic area you will be required to add a v-lan to this area.
If an area is located in a different building (i.e. a neighboring hotel) and they are unable to set up a v-lan connection; you will then need to put an internet drop in the area.
In the legend at the bottom of the page, there should be totals for all of the equipment used on that page.
Double check this count to make sure it matches what is displayed. These totals are what we use for equipment allocations.
On the left side of the legend is a space for show information and information about the floor plan itself. Make sure the :
SHOW NAME (full official name)
SHOW DATES (date show floor opens and closes)
VENUE (convention center or hotel name)
CITY are filled out accurately.
If this is the first version of the floor plan put your initials in the “Drawn by” box,
Put the CSI abbreviated show name in the “File Name”, and put the date you finish it in the “Date” box.
If you are editing it put the date and your initials in the “Rev Date” box.
Icons should not be misshapen or sloppy. They should be neatly set facing the appropriate direct, and care should be taken that they are properly aligned.
Also all the text should be facing the same way, and care should be taken in spelling and grammar.
This document is given to the client, and needs to follow the highest standards possible.
On the right side of the Legend is a box for Notes and Rules for Ethernet Drop.
These should always include the ones in the example.
You should add at least 1 electrical drop for every 3 counters.
There is also a note in the legend specifying that all counters have at least 4 power outlets.
Information for how to setup up the floor plan should be provided by the ESM.
Read the Mantis ticket thoroughly and consult the equipment listing in the show’s PSM (locate in the PSM folder of the “Q” drive).
If any of the information is not clear or seems contradictory it is up to you to get in touch with the ESM and ask for more information or clarification.
As soon as you finish the floor plan:
You should attached a PDF version of the floor to the ZOHO.
Also put the Visio version on the “O” drive in the “Registration Visio Floor Plans” folder.
If it is only a revision, you should replace the original version in the folder on the “O” drive, but save a copy.
If you do not replace it then the wrong equipment will be sent, and the onsite techs will not have the proper floor plan.
Make sure to take extra care with internet drops, V-lans, and electrical drops.
These will be installed onsite based on these drawings.
If the floor plan is not correct it will cause problems that will need to be fixed onsite.
This will make setup more difficult and last minute changes are often more expensive for our clients.

Make sure your legend and Visio stencils are up to date.
Every so often these are updated, and the most current ones need to be used.
They will be emailed out and the most recent will also always be on the “O” drive.
